About the Position

Glatfelter Insurance Group is seeking a Compliance Specialist for our Legal/Underwriting Compliance Department who will be responsible for the analysis and research of compliance related items as they pertain to the varying underwriting programs and the policy lifecycle. The position also works with various departments and programs within GIG in all areas of company operations to ensure compliance between systems, billing, and underwriting in accordance with statutory and carrier requirements for Admitted and Non-admitted policies. The specialist will be responsible for underwriting and claim audits in accordance with carrier outlined requirements.

Other duties include:

• Completes all aspects of non-admitted state tax, stamping fee, and surplus lines tax filings in all 50 states timely and in accordance with state guidelines.
• Assists Licensing with compliance of state regulations as they relate to surplus lines broker and surplus lines broker entity license processing.

This position is required to be onsite at our Leader Heights York, PA office.

Key Responsibilities

• Perform regulatory insurance research and compile information obtained from insurance statutes and regulations, insurance department and surplus lines association materials, digests, practice manuals or other sources for all aspects of our admitted and non-admitted policy lifecycles.
• Work with various business units to coordinate training on items identified as needing improvement as a result of taxes, fees and surcharges, ODENs, Surplus Lines, or DMV audits.
• Manage the business process for the taxes, fees and surcharges and coordinate all changes with IT Systems, Marketing Communication, and Client Services (CSO).
• Coordination and maintenance of the user spreadsheet for the recoupment of taxes, fees and surcharges on admitted policies and changes to state premium taxes, policy fees and surplus lines taxes on non-admitted policies.
• Complete non-admitted policy filings; gather and review documentation required from Underwriting, reconcile and coordinate with underwriting to correct any discrepancies, and communicate with Surplus Lines Associations and State Departments of Insurance, if needed.
• Complete non-admitted state premium tax, fees, and any surplus lines taxes, fees, and surcharges; review policy filing data, request and process checks and other forms of payment, ensure that payment is paid to the appropriate state agency or Surplus Lines Association according to monthly, quarterly, semi-annual or annual state requirements and due dates.
• Prepare ODEN notices for non-renewals, conditional renewals, cancellations (non-pay and other), rescissions, reinstatements, and policy changes within required timeframes and statutory regulations.
• Coordination of ODEN Terminator updates and admin changes.
• Oversee DMV reporting, both internally and through carrier systems.
• Analysis of VIN errors and motor vehicle verification requests to ensure proper reporting.
• Participate and assist in annual carrier audits and information gathering necessary to perform audits for claims and underwriting.
• Coordinate use of policyholder notices as they pertain to any mail merge.
• Coordinate ODEN mailings, including bulk mailings outsourced for new product implementations and transitions.
• Completion of internal ODEN Mail Merges identified that are unable to be outsourced.
• Completion of Form E, Form K, FMCSA, MCS90B, MC965, MA Stamp, and Iowa Dram Shop Filings.
• Maintain accurate records, files and databases sufficient to document all Legal Compliance activities.
• Performs other duties as required by management.

What We’re Looking For

• Associates Degree or equivalent experience necessary to perform the essential functions of the position.
• Successful completion of IIA General Principals of Insurance (INS 21, 22, 23) or equivalent college level course work or possess Pennsylvania P&C license.
• Demonstrated experience working in an insurance environment with proven knowledge of MGA’s, brokerage, retail and carrier operation. Demonstrated experience working independently using research tools to gather information and analyze requirements as needed.
• Must have technical knowledge in using all software systems including Policy Decisions/Insurity, OnBase, Outlook, ODEN Policy Terminator, CBN 2.0, Microsoft Word, and Microsoft Excel.
• Strong interpersonal skills are required to communicate with and influence a wide variety of personalities in-house and outside the company including customers, agents, Regional Directors and others.
• Analytical ability is required to identify problems and work through solutions for underwriting staff.
• Strong organizational skills and ability to set priorities required to maintain consistent quality and quantity of work.
• Ability to provide direction based on established guidelines and procedures to underwriting assistants and maintain a productive Compliance team.
• Must possess a desire to maintain and expand level of technical and professional demeanor.
• Ability to cope with stressful situations.
• Must be detail-oriented, self-motivated and willing and able to meet strict deadlines.
